This Delivery and Shipping Policy explains how AFU DOCS manages document delivery, parcel dispatch, courier coordination, and international shipping services for its customers.
AFU DOCS will make reasonable efforts to handle, coordinate, and support shipments carefully and professionally within the scope of the service requested by the customer.
By requesting or using AFU DOCS delivery, courier, or shipping services, the customer agrees to comply with this Policy, the applicable terms and conditions of AFU DOCS, and the rules, procedures, and policies of the relevant courier or logistics service provider.
AFU DOCS may provide document pickup, document delivery, domestic courier support, and international courier coordination for academic documents, legal documents, verification documents, attestation documents, application papers, and other permitted documents or items.
International courier services may be arranged through third-party courier service providers, including DHL, FedEx, or other available courier/logistics partners, based on service availability, destination coverage, customer requirement, and operational feasibility.
AFU DOCS acts only as a service facilitator and coordination provider. Final delivery, shipment handling, customs clearance, transportation, tracking updates, and delivery timelines are subject to the rules, procedures, operational capacity, and service coverage of the concerned courier company, destination country, customs authority, and receiving party.
For domestic or international delivery, the customer must provide complete, accurate, and verifiable information.
The required information may include, but is not limited to, the following:
Customer or shipper name, contact number, alternate contact number, email address, full address, document or parcel type, destination country, receiver’s name, receiver’s contact number, receiver’s email address, complete receiver address, postal code, nearest landmark where required, valid ID/passport number where required, parcel weight, declared monetary value, and list of items contained inside the package.
The customer is fully responsible for the accuracy and completeness of all information provided. If any information is incorrect, incomplete, unclear, outdated, misleading, or false, AFU DOCS shall not be responsible for any delay, failed delivery, return shipment, additional charges, loss, damage, rejection, customs issue, or any other consequence arising from such information.
The customer is responsible for providing the correct receiver name, phone number, complete delivery address, postal code, destination country, and any additional location details required for successful delivery.
If a shipment is delayed, returned, misrouted, held, or undelivered due to incorrect address, incorrect contact number, incomplete details, receiver unavailability, receiver refusal, restricted delivery area, or delivery location outside the service coverage area of DHL, FedEx, or the concerned courier company, the customer shall bear all additional costs. Such costs may include return charges, re-shipping charges, address correction fees, storage fees, courier handling fees, customs-related fees, or any other applicable charges.
If the receiver’s address is changed after dispatch, address correction charges may apply as per the policy of the concerned courier company. AFU DOCS shall not be liable for any delay or additional cost resulting from such address change.
Shipping charges may be calculated based on actual weight or volumetric weight, whichever is higher.
The courier company may calculate volumetric weight using the following formula:
Length × Breadth × Height / 5000
Measurements are generally calculated in centimeters.
If final packaging changes the size, weight, or chargeable weight of the shipment, the customer shall be responsible for paying any additional shipping cost before dispatch or delivery.
If the actual parcel weight is not a whole number, the weight may be rounded up to the next kilogram according to courier rules. For example, if a parcel weighs 8.2 kg, it may be charged as 9 kg.
Shipping rates may be revised from time to time due to changes in courier company charges, fuel surcharge, international freight cost, currency fluctuation, destination country rules, customs requirements, global conditions, emergency situations, or any other factor affecting courier operations.
Estimated delivery time may vary depending on the destination country, courier service type, customs process, public holidays, strikes, weather conditions, flight availability, courier network, receiver availability, and other circumstances beyond the reasonable control of AFU DOCS.
For international courier services, the general estimated delivery timelines may be as follows:
These timelines are estimates only and may vary from country to country. AFU DOCS does not guarantee an exact delivery date unless such date is specifically confirmed in writing by the concerned courier company.
An expected delivery date may be provided only after the shipment has been processed and a tracking ID has been generated. The tracking ID is generally provided after shipment processing and courier booking, which may usually take up to 2–3 working days depending on document readiness, payment confirmation, courier acceptance, and shipment status.
For international shipments, customs clearance is controlled by the customs authority of the destination country.
The receiver/importer shall be responsible for paying any applicable customs duty, tax, clearance charge, government fee, storage fee, documentation fee, import processing fee, or any other charge imposed by the destination country or relevant authority.
AFU DOCS shall not be responsible if any shipment is held, delayed, rejected, seized, returned, or subjected to additional documentation requirements by customs, government authorities, courier partners, or destination institutions.
The customer or receiver may be required to submit additional documents, identification, declaration, authorization, or payment for customs clearance. Failure to provide such requirements may result in delay, return, seizure, or disposal of the shipment, for which AFU DOCS shall not be liable.
Customers must not send prohibited, illegal, restricted, hazardous, fake, undeclared, unauthorized, or non-compliant items through AFU DOCS.
Items requiring special handling, perishable foods, biological items with short shelf life, gemstones, precious metals, restricted medicines, dangerous goods, hazardous materials, and any other items prohibited by the origin country, destination country, courier company, airline, or customs authority may not be accepted for shipment.
The customer is responsible for confirming whether the document, parcel, or item is legally permitted for shipping to the destination country.
AFU DOCS and/or the courier company may inspect, verify, refuse, hold, return, or remove any parcel or item where required for safety, legal compliance, customs clearance, or courier processing.
If prohibited, restricted, suspicious, falsely declared, or undeclared items are found, AFU DOCS may refuse service, stop dispatch, return the parcel, cancel the service, or report the matter to the concerned authority where required by law. Any legal, financial, customs, or operational consequences shall be the sole responsibility of the customer.
The customer must clearly declare the type of parcel, list of commodities, quantity, total cost, and monetary value where applicable.
If the parcel contains documents, the customer must clearly mention the type and nature of documents being sent.
If the parcel contains goods, the customer must provide a correct and complete list of items, quantity, declared value, and other required details.
AFU DOCS shall not be responsible for claim rejection, compensation denial, customs issue, delay, seizure, return, or penalty arising from incorrect, incomplete, false, or missing declaration by the customer.
No package, parcel, or document shall be dispatched until full payment has been received and confirmed.
The customer shall pay all applicable service charges, courier charges, packing charges, pickup charges, documentation charges, insurance or compensation charges if selected, government fees, customs-related charges where applicable, and any additional charges before processing, dispatch, or delivery.
AFU DOCS reserves the right to hold or delay the shipment if the full payment or required information has not been provided.
If a shipment is returned or remains undelivered due to wrong address, incomplete receiver details, receiver unavailability, receiver refusal, customs issue, unpaid duties/taxes, restricted items, prohibited items, failed clearance, destination restrictions, or any reason not directly caused by AFU DOCS, the customer shall bear all return, re-shipping, storage, customs, and handling charges.
Refunds shall not be provided for delivery failure caused by incorrect details, receiver absence, customs issues, prohibited or restricted items, unpaid customs duties/taxes, delivery area limitations, or circumstances outside the reasonable control of AFU DOCS.
Where possible, AFU DOCS may assist the customer in coordinating with the courier company to recover, redirect, re-ship, or claim the shipment, subject to courier policy and applicable charges.
AFU DOCS is not an insurance company or courier carrier. Any compensation, insurance, reimbursement, or claim for loss, delay, damage, missing shipment, incorrect delivery, or undelivered shipment shall be governed by the terms, conditions, limitations, and approval process of the concerned courier company, logistics partner, or insurance provider.
Where compensation or insurance coverage is available, the customer may be required to pay an additional insurance or compensation charge before dispatch. Such payment shall be subject to the courier company’s applicable policy, declared value, eligibility rules, maximum coverage limit, and claim approval procedure.
Where applicable under the concerned courier partner’s written policy, the following compensation-related conditions may apply:
If a parcel or document is received in damaged condition, lost in transit, incorrectly delivered, or not delivered within the expected period, the customer or receiver must notify AFU DOCS immediately.
Damage-related claims must be submitted within the time limit prescribed by the concerned courier company. Where the courier partner requires damage claims to be reported within a specific period, such as within three days of receiving the parcel, the customer must comply with that time limit. Claims submitted after the allowed claim period may not be accepted.
The customer or receiver must preserve the original packaging, parcel materials, delivery receipt, tracking record, photographs, videos, and other evidence until the claim process is completed.
If a shipment is delivered to an incorrect address, AFU DOCS may coordinate with the courier company for investigation and recovery where possible. The investigation and recovery period shall depend on the courier company’s policy. Where applicable, the courier company may require a specific period, such as approximately 16 days from the claim date, to locate and redirect the shipment.
If a shipment is not delivered because of an incorrect phone number, incorrect address, receiver unavailability, or incomplete receiver details, the customer or receiver must cooperate with AFU DOCS and/or the courier company for delivery coordination. Any additional charge, delay, return, or failed delivery arising from incorrect or incomplete details shall be the responsibility of the customer.
AFU DOCS may assist in claim coordination where possible; however, the final decision regarding claim approval, rejection, compensation, recovery, delivery correction, or reimbursement shall be made by the concerned courier company or insurance provider.
If the customer or receiver requests an address change after dispatch, an address correction or redirection charge may apply according to the courier company’s policy.
Where applicable, international courier partners may charge a fixed address correction fee. For example, some courier policies may impose an address correction charge of USD 25 or another amount determined by the courier company.
The customer shall be responsible for paying all address correction, redirection, return, re-shipping, storage, customs, or handling charges caused by address change, incorrect address, incomplete address, wrong phone number, receiver unavailability, or delivery outside the courier company’s service area.
AFU DOCS shall not be liable for delay, failed delivery, additional charges, loss, or return resulting from address correction or delivery redirection.
AFU DOCS shall take reasonable care to protect the customer’s personal, academic, legal, and confidential information during document handling, packaging, dispatch, and courier coordination.
Customer information shall be shared only with authorized staff, courier companies, logistics partners, institutions, government authorities, customs authorities, or receiving agencies where necessary for completing the requested service.
AFU DOCS shall not intentionally disclose personal or confidential information to unauthorized persons, except where required by law, courier processing, customs clearance, institutional verification, or service execution.
AFU DOCS may assist with urgent document dispatch or priority courier coordination where such service is available.
However, urgent shipment does not guarantee delivery within a fixed date unless expressly confirmed by the concerned courier company in writing.
The customer acknowledges that urgent document dispatch may involve risks related to customs processing, courier network delay, public holidays, flight availability, institutional requirements, address accuracy, and third-party handling.
By requesting urgent shipment, the customer accepts the risks, limitations, courier partner terms, and additional charges applicable to such service.
For academic documents, AFU DOCS may assist with packaging, dispatch, courier tracking, delivery coordination, and communication support.
However, AFU DOCS shall not be responsible for rejection, delay, additional requirements, non-acceptance, verification failure, or processing issues caused by universities, boards, evaluation agencies, embassies, government offices, courier companies, customs authorities, or destination institutions.
The customer is responsible for ensuring that all academic documents are genuine, complete, properly issued, legally valid, and acceptable to the receiving institution or authority.
AFU DOCS does not guarantee approval, acceptance, verification, evaluation, attestation, or recognition of any document by any university, board, government office, embassy, evaluation agency, or foreign institution.
AFU DOCS may provide tracking details after the courier company generates the shipment tracking number.
Tracking updates depend on the courier company’s system, scanning process, transit route, customs status, and delivery network. Delay in online tracking updates does not necessarily mean that the shipment is lost or undelivered.
AFU DOCS will assist customers in coordinating with the courier company wherever reasonably possible. However, final tracking, transit, customs, delivery, and proof-of-delivery information shall be based on the official record of the courier company.
To the maximum extent permitted by applicable law, AFU DOCS shall not be liable for delay, loss, damage, seizure, return, customs hold, failed delivery, address error, receiver refusal, unpaid duty/tax, courier system error, natural disaster, strike, flight delay, public holiday, government restriction, customs action, force majeure event, or any circumstance beyond the reasonable control of AFU DOCS.
AFU DOCS’s role is limited to document handling, courier coordination, shipment assistance, and customer support within the scope of the paid service.
To the maximum extent permitted by applicable law, AFU DOCS shall not be liable for indirect loss, consequential loss, loss of opportunity, loss of admission, loss of deadline, visa refusal, institutional rejection, financial loss, emotional distress, or any claim arising from delay or failure caused by third-party courier companies, customs authorities, government offices, universities, evaluation agencies, or other external parties.
AFU DOCS shall not be responsible for any delay, failure, interruption, or non-performance caused by events beyond its reasonable control, including but not limited to natural disasters, strikes, political disturbance, war, epidemic, pandemic, flight cancellation, customs restrictions, government orders, internet or system failure, courier network disruption, or other emergency situations.
This Delivery and Shipping Policy shall be governed by and interpreted in accordance with the applicable laws of Nepal.
Any dispute arising out of or relating to this Policy shall be subject to the jurisdiction of the competent courts or authorities of Nepal, unless otherwise required by applicable law.
AFU DOCS may update, revise, amend, or modify this Delivery and Shipping Policy from time to time to reflect changes in its services, courier partner rules, shipping procedures, legal requirements, operational practices, customer service process, or other business requirements.
Any updated version of this Policy will be posted on the AFU DOCS website with a revised “Last Updated” date. Where the changes are material, AFU DOCS may take reasonable steps to notify customers through the website, email, notice, or other appropriate communication methods.
Customers are encouraged to review this Policy regularly before using AFU DOCS delivery, courier, or shipping services.
Continued use of AFU DOCS delivery, courier, or shipping services after any update to this Policy shall mean that the customer has read, understood, and accepted the revised Policy.
