1. Introduction

AFU Docs is committed to delivering professional, transparent, and reliable document assistance services to students, graduates, professionals, and institutions. We understand that circumstances may arise where a client wishes to request a refund. This Refund Policy explains the conditions under which refunds may be approved, partially approved, or declined.

Because many of our services involve professional consultation, document preparation, application processing, communication with third-party organizations, and administrative work, resources are often allocated immediately after a service request is confirmed. As a result, not all payments are eligible for a refund once work has commenced.

This policy is intended to ensure fairness and transparency for both our clients and AFU Docs. It outlines the rights and responsibilities of both parties, the procedures for requesting a refund, and the limitations that apply to services involving third-party organizations.

By purchasing or using any service offered by AFU Docs, you acknowledge that you have read, understood, and agreed to the terms of this Refund Policy.

2. Definitions

For the purposes of this Refund Policy, the following terms shall have the meanings set out below:

2.1 AFU Docs

“AFU Docs,” “we,” “our,” or “us” refers to AFU Docs, the provider of academic support, document assistance, educational support, application processing, and related professional services.

2.2 Client

“Client,” “customer,” or “you” refers to any individual, organization, or authorized representative who purchases, requests, or receives services from AFU Docs.

2.3 Services

“Services” refers to all professional services offered by AFU Docs, including but not limited to document procurement, document verification, document preparation, application assistance, credential evaluation support, translation, courier services, consultation, editing, formatting, certification assistance, and any other services published on our official website or communicated through our official channels.

2.4 Third-Party Organization

A “Third-Party Organization” refers to any external institution or entity that is not owned, operated, or controlled by AFU Docs. This includes, but is not limited to, universities, colleges, government agencies, embassies, credential evaluation agencies, professional licensing bodies, courier companies, financial institutions, examination boards, and other service providers involved in delivering or processing a client’s request.

2.5 Third-Party Fees

“Third-Party Fees” means any fees, charges, or payments collected on behalf of, or paid directly to, a third-party organization. These fees are separate from AFU Docs’ professional service charges and are generally governed by the refund policies of the respective organization.

2.6 Professional Service Fee

“Professional Service Fee” refers to the amount charged by AFU Docs for its expertise, consultation, administrative support, document preparation, application assistance, coordination, and other professional services.

2.7 Processing Fee

“Processing Fee” means any administrative, banking, payment gateway, transaction, or operational charge incurred in processing a client’s payment, refund, or service request.

2.8 Refund

A “Refund” refers to the return of all or part of a payment made by the client, subject to the terms and conditions set out in this Refund Policy.

2.9 Business Day

A “Business Day” means any day on which AFU Docs is open for normal business operations, excluding Saturdays, public holidays, and officially announced office closures.

2.10 Service Commencement

“Service commencement” means the point at which AFU Docs begins performing any work related to the client’s request. This includes, but is not limited to, reviewing submitted documents, conducting consultations, communicating with third-party organizations, preparing documentation, assigning staff to the case, or initiating any administrative or processing activities.

2.11 Digital Deliverables

“Digital Deliverables” refers to any document, report, application, translation, template, certificate, digital file, or other electronic material prepared, edited, reviewed, or delivered by AFU Docs through email, cloud storage, messaging platforms, or other electronic means.

2.12 Refund Request

A “Refund Request” means a formal written request submitted by a client asking AFU Docs to review and consider the return of all or part of a payment in accordance with this Refund Policy.

3. Scope of This Refund Policy

This Refund Policy applies to all services provided by AFU Docs, whether requested through our official website, email, telephone, social media platforms, messaging applications, or any other authorized communication channel.

The policy governs payments made for professional services offered by AFU Docs, including but not limited to academic support, document assistance, document procurement, document verification, application processing, credential evaluation support, translation, courier services, consultation, editing, formatting, certification assistance, and other related services offered by AFU Docs.

This policy applies to all clients who purchase or use our services, regardless of their country of residence or the method of payment used.

This Refund Policy applies only to payments made directly to AFU Docs for its professional services. Fees charged by third-party organizations, including universities, government agencies, embassies, credential evaluation agencies, professional licensing bodies, courier companies, financial institutions, and examination boards, are subject to the refund policies of the respective organizations and are not governed by this policy unless expressly stated otherwise.

Where a service package includes both AFU Docs’ professional service fees and third-party fees, each component shall be assessed separately for refund eligibility in accordance with this Refund Policy and the applicable policies of the relevant third-party organization.

By purchasing or using any service offered by AFU Docs, the client acknowledges and agrees that this Refund Policy forms an integral part of the Terms and Conditions governing the use of our services.

4. General Refund Policy

AFU Docs is committed to providing professional, transparent, and high-quality services to every client. We recognize that circumstances may arise where a refund request is appropriate; however, due to the nature of our services, refunds are not automatically granted and are subject to the terms and conditions set out in this Refund Policy.

Refund requests are assessed on a case-by-case basis, taking into account the type of service purchased, the stage of service completion, the work already performed, payments made to third-party organizations, and any administrative or processing costs incurred by AFU Docs.

A client’s eligibility for a refund depends on several factors, including whether the service has commenced, whether any deliverables have been prepared or provided, whether third-party fees have been paid, and whether the refund request complies with the requirements of this policy.

AFU Docs reserves the right to approve, partially approve, or decline any refund request after reviewing the relevant facts and supporting documentation. The decision shall be made fairly, consistently, and in accordance with this Refund Policy.

The submission of a refund request does not guarantee that a refund will be issued. Refunds will only be granted where the circumstances satisfy the eligibility requirements described in this policy.

Where a refund is approved, AFU Docs may deduct any applicable administrative charges, payment processing fees, banking charges, taxes, or costs incurred in delivering the service, unless otherwise required by applicable law.

No provision of this Refund Policy shall be interpreted as creating a guarantee of a refund in situations where services have been completed, substantially performed, or where costs have already been incurred by AFU Docs or third-party organizations on behalf of the client.

This Refund Policy should be read together with AFU Docs’ Terms and Conditions, Privacy Policy, and any service-specific agreements or quotations provided to the client. In the event of any inconsistency, the terms of the applicable service agreement or quotation shall prevail to the extent of the inconsistency.

5. Eligibility for Refunds

AFU Docs may approve a full or partial refund where the client satisfies the conditions set out in this section. Each refund request will be reviewed individually, taking into account the nature of the service, the work completed, and any costs already incurred.

5.1 Duplicate or Excess Payments

A full refund may be granted where a client has accidentally made duplicate payments or paid an amount exceeding the applicable service fee. The client may be required to provide proof of payment before the refund is processed.

5.2 Cancellation Before Service Commencement

A client may be eligible for a refund if the service is cancelled before service commencement, provided that AFU Docs has not assigned staff, initiated administrative procedures, reviewed submitted documents, or undertaken any work related to the service request. Approved refunds under this provision may be subject to applicable payment gateway charges, banking fees, or administrative costs already incurred.

5.3 Service Unavailable

If AFU Docs determines that it is unable to provide the requested service due to reasons within its reasonable control, the client may be eligible for a full or partial refund after deducting any costs already incurred, where applicable.

5.4 Billing or Technical Errors

A refund may be approved where a payment has been processed due to a verified billing error, technical malfunction, or system-related issue that resulted in an incorrect charge.

5.5 Partial Completion of Services

Where only a portion of the agreed service has been completed, AFU Docs may, at its sole discretion, approve a partial refund after deducting the value of services already performed, administrative expenses, processing fees, and any third-party costs incurred.

5.6 Failure to Deliver the Agreed Service

If AFU Docs is unable to deliver the agreed professional service due solely to its own error, omission, or failure, and no reasonable alternative solution can be provided, the client may be eligible for an appropriate full or partial refund, depending on the extent of the service completed.

5.7 Other Exceptional Circumstances

AFU Docs reserves the right to consider refund requests arising from exceptional circumstances not expressly covered by this Refund Policy. Such requests will be assessed on a case-by-case basis, considering the specific facts, supporting evidence, and the interests of both the client and AFU Docs.

5.8 Administrative Work Deduction

Where AFU Docs has undertaken preliminary administrative work, including office visits, consultations with officials or third-party organizations, document verification, or other preparatory activities before the cancellation of the service, an administrative fee of up to 15% of the total professional service fee may be deducted from any approved refund to cover the costs already incurred.

5.9 Final Determination

The approval of a refund under any provision of this section shall remain subject to verification of the client’s claim, compliance with this Refund Policy, and the submission of any information or documentation reasonably requested by AFU Docs during the refund review process.

6. Non-Refundable Services

Certain services provided by AFU Docs are non-refundable due to the professional time, expertise, administrative effort, and resources invested in delivering them. Unless otherwise required by applicable law, no refund will be issued under the following circumstances:

6.1 Services After Commencement

No refund shall be granted once service commencement has occurred, including where AFU Docs has reviewed documents, assigned personnel, initiated administrative procedures, communicated with third-party organizations, prepared documentation, or otherwise commenced work on the client’s request.

6.2 Completed Services

Professional service fees are non-refundable once the agreed service has been completed or substantially completed in accordance with the client’s instructions or the applicable service agreement.

6.3 Digital Deliverables

No refund will be provided after digital deliverables have been prepared, issued, shared, emailed, uploaded, or otherwise made available to the client, regardless of whether the client downloads, accesses, or uses the deliverables.

6.4 Consultation Services

Fees paid for consultations, advisory sessions, document assessments, eligibility evaluations, or professional guidance are non-refundable once the consultation has taken place or the advice has been provided.

6.5 Client-Initiated Changes

Refunds will not be granted where the client decides to discontinue the service after work has commenced due to a change of mind, change of plans, change of institution, change of destination country, or any other personal reason unrelated to AFU Docs.

6.6 Incorrect or Incomplete Information

AFU Docs shall not be responsible for refunding any payment where the client provides incorrect, incomplete, inaccurate, misleading, or fraudulent information or documents that prevent the successful completion of the requested service.

6.7 Client Delays or Non-Cooperation

No refund shall be issued where the client fails to provide required documents, fails to respond to requests for information, misses deadlines, refuses to cooperate, or otherwise delays the service, resulting in additional work or the inability to complete the requested service.

6.8 Third-Party Decisions

Refunds shall not be granted based on decisions made by third-party organizations, including but not limited to universities, government agencies, embassies, credential evaluation agencies, licensing authorities, examination boards, or other institutions. AFU Docs does not control the decisions or policies of such organizations.

6.9 Third-Party Fees

Any fees paid to third-party organizations on behalf of the client are generally non-refundable unless the respective organization refunds those fees in accordance with its own policies.

6.10 Courier and Shipping Charges

Courier charges, postage fees, customs charges, packaging costs, and other shipping-related expenses incurred during the delivery of documents or other materials are non-refundable once the shipment has been arranged or dispatched.

6.11 Payment Processing Charges

Bank charges, payment gateway fees, transaction charges, currency conversion fees, and similar financial charges incurred during payment or refund processing are non-refundable unless otherwise required by law or expressly agreed by AFU Docs.

6.12 Fraudulent or Unauthorized Activity

No refund will be granted where AFU Docs reasonably believes that the payment, documents, or service request involves fraud, misrepresentation, unauthorized activity, or any violation of applicable laws or the Terms and Conditions of AFU Docs.

7. Cancellation Policy

AFU Docs understands that clients’ circumstances may change after requesting a service. Clients may request the cancellation of a service in accordance with the terms set out in this section. The acceptance of a cancellation request does not automatically entitle the client to a refund, and all refund requests shall be assessed in accordance with this Refund Policy.

7.1 Cancellation Request

A client who wishes to cancel a service must submit a written cancellation request through an official communication channel of AFU Docs, such as email or another authorized platform. The request should include sufficient information to identify the client, the service requested, and the reason for cancellation.

7.2 Effective Date of Cancellation

A cancellation request shall be considered effective only after it has been received and acknowledged by AFU Docs. Until such acknowledgment is provided, AFU Docs may continue processing the client’s service request.

7.3 Cancellation Before Service Commencement

Where a cancellation request is received before service commencement, the client may be eligible for a full or partial refund, subject to the provisions of this Refund Policy. Any applicable administrative expenses, payment processing charges, or operational costs already incurred by AFU Docs may be deducted from the approved refund.

7.4 Cancellation After Service Commencement

Where a cancellation request is submitted after service commencement, AFU Docs may decline the request or approve it subject to a partial refund, depending on the stage of completion, the work already performed, and any expenses incurred. Services that have been completed or substantially completed are generally not eligible for cancellation or refund.

7.5 Cancellation Due to Client Non-Responsiveness

If a client fails to provide the required documents, information, approvals, or responses within a reasonable period, AFU Docs may place the service on hold or close the service request. Such action shall not automatically create an entitlement to a refund, particularly where professional work has already been performed.

7.6 Cancellation by AFU Docs

AFU Docs reserves the right to cancel or discontinue a service where:

  • the client provides false, misleading, incomplete, or fraudulent information;
  • the client engages in abusive, threatening, or unlawful conduct;
  • the requested service cannot be completed due to legal, regulatory, or operational reasons; or
  • the client breaches the Terms and Conditions or any applicable agreement with AFU Docs.

Where AFU Docs cancels a service for reasons attributable to the client, the client may not be entitled to a refund. If the cancellation occurs for reasons solely within the control of AFU Docs, refund eligibility shall be determined in accordance with Section 5 of this Refund Policy.

7.7 Effect of Cancellation

Upon cancellation of a service, AFU Docs shall have no further obligation to continue providing the requested services unless otherwise agreed in writing. Any refund, where applicable, shall be processed in accordance with the procedures and timelines set out in this Refund Policy.

8. Client Responsibilities

To ensure the timely and accurate delivery of services, clients are expected to cooperate fully with AFU Docs throughout the service process. Failure to comply with the responsibilities set out in this section may affect service delivery, processing timelines, and refund eligibility.

8.1 Accurate Information

The client is responsible for providing complete, accurate, current, and truthful information when requesting any service from AFU Docs. AFU Docs shall not be responsible for delays, additional costs, or unsuccessful outcomes resulting from inaccurate, incomplete, or misleading information provided by the client.

8.2 Submission of Required Documents

The client shall provide all documents, records, photographs, identification, authorizations, and supporting materials required to perform the requested service. Documents submitted must be authentic, valid, and legally obtained.

8.3 Timely Response

The client is responsible for responding promptly to requests for additional information, clarification, approvals, or documentation. Delays in responding may result in extended processing times, suspension of the service, or closure of the service request where appropriate.

8.4 Cooperation During Service Delivery

The client shall cooperate with AFU Docs throughout the service process and shall promptly communicate any changes that may affect the requested service, including changes to personal information, contact details, educational records, application requirements, or other relevant circumstances.

8.5 Compliance with Applicable Requirements

The client is responsible for complying with the requirements, policies, deadlines, and procedures established by universities, government agencies, embassies, credential evaluation agencies, licensing authorities, courier companies, and other third-party organizations involved in the requested service.

8.6 Verification of Information

The client is responsible for reviewing all documents, applications, forms, translations, and other deliverables prepared by AFU Docs before submission or use. Any errors or omissions identified by the client should be reported promptly so that appropriate corrections can be considered.

8.7 Lawful Use of Services

The client shall not use AFU Docs’ services for any unlawful, fraudulent, deceptive, or unauthorized purpose. AFU Docs reserves the right to refuse or discontinue services where there is reasonable evidence of illegal activity, document fraud, identity misrepresentation, or any conduct that violates applicable laws or the Terms and Conditions of AFU Docs.

8.8 Financial Obligations

The client is responsible for paying all applicable professional service fees, third-party fees, courier charges, government fees, taxes, and other agreed charges associated with the requested service. Failure to make required payments may result in suspension or cancellation of the service.

8.9 Acknowledgement of Responsibilities

By requesting or using any service provided by AFU Docs, the client acknowledges that they have read, understood, and accepted the responsibilities described in this section. Failure to fulfill these responsibilities may affect the successful completion of the requested service and may limit the client’s eligibility for a refund under this Refund Policy.

9. AFU Docs Responsibilities

AFU Docs is committed to delivering its services with professionalism, integrity, and due care. While the outcome of services involving third-party organizations cannot be guaranteed, AFU Docs shall make reasonable efforts to provide accurate, timely, and reliable assistance in accordance with the agreed scope of service.

9.1 Professional Service Delivery

AFU Docs shall perform its services with reasonable skill, care, and diligence, using qualified personnel and established administrative procedures appropriate to the nature of the requested service.

9.2 Accurate Processing

AFU Docs shall make reasonable efforts to ensure that documents, applications, and other deliverables prepared on behalf of the client are processed accurately based on the information and documents provided by the client.

9.3 Confidentiality

AFU Docs shall handle client information and documents in accordance with its Privacy Policy and applicable data protection requirements. Client information will only be accessed, used, or shared as necessary for the provision of the requested services or where required by law.

9.4 Communication

AFU Docs shall make reasonable efforts to keep clients informed regarding the status of their service requests, including requests for additional information, updates on processing, and other significant developments relevant to the service.

9.5 Transparency of Fees

AFU Docs shall clearly communicate its professional service fees and, where applicable, identify third-party fees, courier charges, government fees, or other costs associated with the requested service before or during service delivery.

9.6 Compliance with Applicable Procedures

AFU Docs shall carry out its services in accordance with applicable laws, professional standards, and the operational requirements of relevant third-party organizations, to the extent reasonably practicable.

9.7 Correction of AFU Docs Errors

Where an error is identified that is solely attributable to AFU Docs during the preparation or processing of a client’s service, AFU Docs shall make reasonable efforts to correct the error without additional professional service charges, provided the error is reported promptly and the requested correction falls within the original scope of the service.

9.8 No Guarantee of Third-Party Outcomes

AFU Docs provides professional assistance and administrative support but does not guarantee the decisions, actions, processing times, or outcomes of third-party organizations. This includes, but is not limited to, universities, government agencies, embassies, credential evaluation agencies, licensing authorities, courier companies, financial institutions, and examination boards.

9.9 Continuous Service Improvement

AFU Docs is committed to continually improving the quality, efficiency, and reliability of its services through regular review of its processes, client feedback, and operational practices.

10. Third-Party Fees and Charges

Many services provided by AFU Docs require payments to third-party organizations that operate independently of AFU Docs. These organizations establish their own fees, processing requirements, timelines, and refund policies. AFU Docs acts solely as a facilitator or authorized representative, where applicable, and does not control the policies or decisions of these organizations.

10.1 Separate Third-Party Charges

Third-party fees are separate from the professional service fees charged by AFU Docs. Such fees may include, but are not limited to:

  • University or educational institution fees
  • Government agency fees
  • Embassy or consular fees
  • Credential evaluation agency fees
  • Professional licensing authority fees
  • Examination or testing fees
  • Courier and shipping charges
  • Banking or payment processing charges
  • Translation, notarization, legalization, or authentication fees performed by external providers
  • Any other charges imposed by independent third-party organizations

10.2 Responsibility for Third-Party Fees

The client is responsible for paying all applicable third-party fees associated with the requested service. AFU Docs may collect such fees on behalf of the relevant organization or instruct the client to make payment directly to the organization, depending on the nature of the service.

10.3 Changes in Third-Party Fees

Third-party organizations may revise their fees, policies, or processing requirements at any time without prior notice to AFU Docs. Any increase in such fees shall be the responsibility of the client, and AFU Docs shall not be liable for any additional costs resulting from such changes.

10.4 Third-Party Refund Policies

Refunds relating to third-party fees are governed solely by the refund policies and decisions of the respective third-party organization. AFU Docs has no authority to approve, deny, or influence refunds issued by third-party organizations unless expressly authorized to do so.

10.5 Third-Party Delays and Decisions

AFU Docs shall not be responsible for delays, service interruptions, processing times, document requirements, rejections, approvals, or any other decisions made by third-party organizations. Such matters remain entirely within the control of the respective organization.

10.6 Non-Recoverable Third-Party Costs

Where AFU Docs has already paid or committed to paying third-party fees on behalf of the client, those amounts shall generally be considered non-refundable unless they are first refunded to AFU Docs by the relevant third-party organization.

10.7 Client Acknowledgement

By requesting services that involve third-party organizations, the client acknowledges and agrees that AFU Docs is not responsible for the policies, procedures, decisions, timelines, or refund practices of such organizations. Any refund relating to third-party fees shall remain subject to the applicable policies of the respective organization.

11. Administrative and Processing Fees

AFU Docs incurs administrative, operational, and financial costs while providing professional services to its clients. These costs may arise before, during, or after service commencement and may remain payable even if a service is subsequently cancelled or a refund is approved.

11.1 Administrative Fees

Where applicable, AFU Docs may deduct a reasonable administrative fee from an approved refund to recover costs associated with the management and administration of the client’s service request. Such costs may include, but are not limited to, case assessment, document review, client communication, file preparation, staff allocation, record management, and other administrative activities performed prior to cancellation.

11.2 Operational Expenses

Administrative and operational expenses may also include office visits made on behalf of the client, consultations with officials or third-party organizations, document verification, coordination with external institutions, and other preparatory activities reasonably undertaken in connection with the requested service. Where such activities have been performed prior to cancellation, AFU Docs may deduct an administrative fee of up to 15% of the total professional service fee from any approved refund to recover the costs already incurred.

11.3 Payment Processing Charges

Payment gateway fees, banking charges, transaction fees, currency conversion charges, and other financial processing costs incurred during the receipt or refund of payments may be deducted from an approved refund where such costs are non-recoverable by AFU Docs.

11.4 Third-Party Administrative Costs

Where third-party organizations impose administrative, processing, cancellation, amendment, or other service-related charges, such costs shall remain the responsibility of the client unless otherwise agreed in writing.

11.5 Additional Costs Arising During Service Delivery

If additional administrative work or expenses become necessary due to changes requested by the client, the submission of incomplete or inaccurate information, or other circumstances attributable to the client, AFU Docs reserves the right to charge reasonable additional fees after informing the client.

11.6 Non-Waiver of Fees

The approval of a refund does not automatically waive any administrative fees, operational expenses, payment processing charges, or other recoverable costs lawfully incurred by AFU Docs in providing the requested service.

11.7 Transparency of Charges

AFU Docs is committed to maintaining transparency regarding its administrative and processing fees. Where reasonably practicable, clients will be informed of applicable charges before they are incurred or deducted from an approved refund.

12. Refund Request Procedure

Clients who believe they are eligible for a refund may submit a formal refund request in accordance with the procedure outlined in this section. To facilitate a fair and timely review, all refund requests should be submitted with complete and accurate information.

12.1 Submission of Refund Request

A refund request must be submitted in writing through an official communication channel of AFU Docs. Requests may be submitted by email or through any other communication method officially designated by AFU Docs.

12.2 Information Required

To enable the proper assessment of a refund request, the client should provide, where applicable:

  • Full name of the client;
  • Contact information;
  • Invoice number, receipt number, or payment reference number;
  • Description of the service purchased;
  • Date of payment;
  • Amount paid;
  • Reason for requesting the refund; and
  • Any supporting documents or evidence relevant to the request.

AFU Docs may request additional information or documentation where reasonably necessary to verify the client’s claim.

12.3 Timeframe for Submission

Refund requests should be submitted as soon as reasonably practicable after the event giving rise to the request. To facilitate timely review, AFU Docs recommends that refund requests be submitted within seven (7) calendar days from the date the client becomes aware of the circumstances giving rise to the refund request. The submission of a request beyond this recommended timeframe does not automatically prevent AFU Docs from considering the request. However, delays may affect the availability of supporting information and the assessment of the claim.

12.4 Acknowledgement of Receipt

Upon receiving a refund request, AFU Docs may acknowledge receipt and, where necessary, request additional information or documentation required to complete the review.

12.5 Review of Request

All refund requests shall be reviewed in accordance with this Refund Policy. The submission of a refund request does not guarantee that a refund will be approved.

12.6 Incomplete Requests

If the client fails to provide the information or documentation reasonably required to assess the refund request, AFU Docs may delay the review until the necessary information has been received or may decline the request where sufficient information is not provided.

12.7 Communication of Decision

Following completion of the review, AFU Docs shall notify the client of its decision through an official communication channel. Where a refund is approved, the notification shall specify the approved refund amount, any applicable deductions, and the expected processing timeframe.

13. Refund Review Process

Upon receipt of a refund request, AFU Docs shall conduct a fair and reasonable review to determine whether the request satisfies the eligibility requirements set out in this Refund Policy. Each request shall be assessed on its own merits, taking into account the specific circumstances of the case.

13.1 Preliminary Review

AFU Docs shall conduct a preliminary review of the refund request to verify that the required information and supporting documentation have been provided. If additional information is required, AFU Docs may contact the client before proceeding with the detailed assessment.

13.2 Verification of Information

13.3 Assessment Criteria

In reviewing a refund request, AFU Docs may consider, among other relevant factors:

  • the nature of the service requested;
  • the stage of service completion;
  • the extent of professional work already performed;
  • administrative and operational costs incurred;
  • office visits or consultations undertaken on behalf of the client;
  • payments made to third-party organizations;
  • compliance with this Refund Policy and the Terms and Conditions; and
  • any other circumstances considered relevant to the particular request.

13.4 Additional Information

Where the information initially provided is insufficient to complete the review, AFU Docs may request additional documents, explanations, or evidence from the client. Failure to provide the requested information within a reasonable period may result in the refund request being declined or assessed based on the information available.

13.5 Decision on the Refund Request

Following completion of the review, AFU Docs shall determine whether the refund request is approved in full, approved in part, or declined. The decision shall be based on the facts of the case, the applicable provisions of this Refund Policy, and any supporting evidence submitted by the client.

13.6 Communication of the Decision

The client shall be informed of the outcome of the refund review through an official communication channel of AFU Docs. Where applicable, the communication shall include the approved refund amount, any deductions applied, and the anticipated refund processing timeframe.

13.7 Finality of Decision

Unless otherwise required by applicable law or a written agreement between the parties, the decision of AFU Docs regarding a refund request shall be final following completion of the internal review process.

14. Refund Processing Timeline

Where a refund request has been approved, AFU Docs shall make reasonable efforts to process the refund in a timely manner, subject to the terms of this Refund Policy and the requirements of the applicable payment provider or financial institution.

14.1 Processing Period

Approved refunds are generally processed within seven (7) to fourteen (14) business days from the date on which the client is notified of the approval. This timeframe is an estimate and may vary depending on the payment method used and the policies of the relevant financial institution.

14.2 Method of Refund

Unless otherwise agreed in writing or where it is not reasonably practicable, approved refunds will be issued using the same payment method originally used by the client. Where this is not possible, AFU Docs may arrange an alternative refund method after verifying the client’s identity and payment details.

14.3 Processing Delays

Refund processing may be delayed due to circumstances beyond the reasonable control of AFU Docs, including but not limited to banking procedures, payment gateway processing times, public holidays, technical issues, regulatory requirements, or delays by financial institutions. AFU Docs shall not be liable for delays caused by third-party payment providers, banks, or other financial institutions after the refund has been processed by AFU Docs.

14.4 Verification Prior to Payment

Before issuing a refund, AFU Docs may verify the identity of the client, payment information, bank account details, or any other information reasonably necessary to ensure that the refund is made to the rightful recipient.

14.5 Deductions

Where applicable, approved refunds may be subject to deductions for administrative fees, operational expenses, payment processing charges, banking fees, third-party costs, or other recoverable expenses in accordance with this Refund Policy.

14.6 Client Responsibility

The client is responsible for providing accurate and complete payment information required for processing the refund. AFU Docs shall not be responsible for delays or failed transactions resulting from incorrect, incomplete, or outdated payment details provided by the client.

14.7 Confirmation of Refund

Once the refund has been processed by AFU Docs, the client may be notified through an official communication channel. Any subsequent delay in the receipt of funds shall be subject to the processing times and procedures of the relevant payment provider or financial institution.

15. Partial Refunds

In certain circumstances, AFU Docs may approve a partial refund instead of a full refund. Partial refunds are intended to reflect the value of services not yet performed while allowing AFU Docs to recover reasonable costs incurred in providing the requested service.

15.1 Circumstances for Partial Refund

A partial refund may be considered where:

  • the client cancels a service after preliminary work has commenced but before the service has been completed;
  • only a portion of the agreed services has been delivered;
  • administrative or operational work has been completed prior to cancellation; or
  • other circumstances exist where AFU Docs determines that a partial refund is fair and reasonable.

15.2 Determination of Refund Amount

The amount of any partial refund shall be determined after considering all relevant circumstances, including:

  • the stage of service completion;
  • the portion of professional work already performed;
  • administrative and operational expenses incurred;
  • office visits or consultations undertaken on behalf of the client;
  • document review, verification, preparation, or processing already completed;
  • payments made to third-party organizations;
  • payment processing charges, banking fees, and other non-recoverable costs; and
  • any other expenses reasonably incurred in connection with the requested service.

15.3 Non-Refundable Components

When calculating a partial refund, AFU Docs may deduct any non-refundable fees, administrative charges, operational expenses, third-party costs, payment processing charges, and other recoverable expenses in accordance with this Refund Policy.

15.4 Fair Assessment

Each request for a partial refund shall be assessed individually. AFU Docs will make reasonable efforts to ensure that any approved refund fairly reflects both the work completed and the expenses incurred prior to the cancellation or termination of the service.

15.5 No Automatic Entitlement

The possibility of a partial refund does not create an automatic entitlement to receive one. Approval of any partial refund remains subject to the eligibility requirements and review procedures set out in this Refund Policy.

15.6 Final Determination

The determination of the amount of any partial refund shall be made by AFU Docs after reviewing the facts and circumstances of the particular case. The calculation shall be based on the work performed and the costs incurred up to the date of cancellation or termination of the service.

16. Situations Where Refunds Will Not Be Granted

Notwithstanding any other provision of this Refund Policy, AFU Docs reserves the right to decline a refund request where any of the following circumstances apply:

16.1 Service Completion

The requested service has been completed or substantially completed in accordance with the agreed scope of work or the client’s instructions.

16.2 Service Commencement

The client requests a refund after service commencement, except where AFU Docs expressly determines that a full or partial refund is appropriate under this Refund Policy.

16.3 Change of Mind

The client no longer wishes to proceed with the requested service due to personal preference, a change of plans, a change of institution, a change of destination country, financial reasons, or any other circumstance unrelated to AFU Docs.

16.4 Client Error or Omission

The requested service cannot be completed, is delayed, or requires additional work because the client provided inaccurate, incomplete, misleading, fraudulent, or outdated information or documentation.

16.5 Failure to Cooperate

The client fails to provide required documents, approvals, authorizations, payments, or responses within a reasonable period, resulting in delays, suspension, or termination of the requested service.

16.6 Third-Party Decisions

The refund request is based solely on a decision, action, delay, rejection, approval, policy, or processing time of a third-party organization, including universities, government agencies, embassies, credential evaluation agencies, licensing authorities, courier companies, financial institutions, or examination boards.

16.7 Non-Refundable Third-Party Fees

The refund relates to third-party fees that have already been paid or committed on behalf of the client and are not recoverable from the respective third-party organization.

16.8 Misuse of Services

The client has used, attempted to use, or requested AFU Docs’ services for any unlawful, fraudulent, deceptive, unauthorized, or improper purpose.

16.9 Violation of Terms and Conditions

The client has breached the Terms and Conditions, this Refund Policy, or any other agreement governing the services provided by AFU Docs.

16.10 Chargeback or Payment Dispute

The client initiates a chargeback, payment reversal, or payment dispute without first providing AFU Docs with a reasonable opportunity to review and resolve the matter through its internal refund process.

16.11 Abuse or Misconduct

The client engages in abusive, threatening, harassing, discriminatory, or otherwise inappropriate conduct toward AFU Docs personnel, representatives, or affiliated service providers during the course of the service.

16.12 Other Circumstances

AFU Docs reserves the right to decline a refund request where, after a reasonable review of the facts and supporting evidence, it determines that granting a refund would be inconsistent with this Refund Policy, the applicable service agreement, or any applicable law.

17. Limitation of Liability

AFU Docs provides professional assistance, administrative support, and document-related services with reasonable care and diligence. However, AFU Docs does not guarantee the outcome, approval, or processing time of any application, document, or service involving third-party organizations.

AFU Docs shall not be liable for any loss, delay, rejection, additional costs, or other consequences arising from the actions, decisions, policies, processing times, or requirements of universities, government agencies, embassies, credential evaluation agencies, professional licensing authorities, courier companies, financial institutions, or any other third-party organization.

To the fullest extent permitted by applicable law, AFU Docs’ liability arising from or relating to its services shall be limited to the professional service fees paid by the client for the specific service giving rise to the claim.

18. Force Majeure

AFU Docs shall not be liable for any delay, interruption, or failure to perform its obligations where such delay or failure results from events beyond its reasonable control. These events may include, but are not limited to, natural disasters, floods, earthquakes, fires, pandemics, epidemics, government actions, changes in law or regulation, strikes, labor disputes, power failures, internet or communication outages, cyber incidents, transportation disruptions, or other unforeseen circumstances.

Where such an event occurs, AFU Docs will make reasonable efforts to resume its services as soon as practicable and, where appropriate, keep affected clients informed of any significant delays.

19. Amendments to This Refund Policy

AFU Docs reserves the right to modify, revise, or update this Refund Policy at any time to reflect changes in applicable laws, business practices, or the services we provide.

Any amendments shall become effective upon publication on the official AFU Docs website or through another official communication channel, unless otherwise stated. The most recent version of this Refund Policy shall supersede all previous versions.
